IntroductionOmnia is operated by Omnia Insurance Group, LLC (“Omnia,” “we,” or “us”) for licensed insurance agencies. This policy explains how we handle data. For most of the data that flows through Omnia — the contact and policy information about an agency’s leads and members — Omnia acts as a service provider (processor) on behalf of the agency, which is responsible for that data as the controller. If you are a consumer who was contacted by an agency using Omnia, please contact that agency about your information; we will support their handling of your request.
Information We ProcessOn behalf of our agency customers, Omnia processes:• Contact and lead information (name, phone number, email, and similar details).• Member and policy records, and insurance-related information provided to prepare quotes and applications, which can include household details and income used to determine subsidy eligibility.• Messages, call recordings, and transcripts created through the service.• Consent and opt-out records tied to outreach.
We also collect account information from agency users (such as name and email) and usage and diagnostic data needed to run and secure the service. How We Use InformationWe use information to:• Provide, maintain, secure, and improve the service.• Send and route messages and calls at the direction of the agency, and record consent and opt-outs.• Prepare quotes and applications and assist licensed producers.• Provide support and send service notices.
We do not sell personal information, and we do not use agency or consumer data to advertise to consumers. Messaging and Opt-OutsOutreach through Omnia is sent at the direction of the agency and requires a lawful basis and any consent the law requires. Opt-out requests, including STOP replies, are honored, and we maintain opt-out records so a person who opts out is not contacted again through the service.
Service ProvidersWe use a limited set of sub-processors to run the service, under agreements that restrict their use of data to providing services to us. These include communications providers (for example, Twilio for SMS and voice), cloud infrastructure and AI providers (for example, Amazon Web Services, including Amazon Bedrock for AI processing), and carrier and integration partners the agency chooses to connect.
Data SecurityWe use appropriate technical and organizational measures to protect data against unauthorized access, loss, or misuse. No system is perfectly secure, but we work to protect the information in our care.
Data RetentionWe retain data for as long as needed to provide the service to our agency customers and as required by law or their instructions. On termination, an agency may request an export of its data for a limited period, after which it may be deleted.
Your RightsDepending on where you live, you may have rights to access, correct, delete, or port personal information, or to object to certain processing. Because Omnia processes most personal information on behalf of an agency, we will forward consumer requests to the relevant agency and support their response. Agency users may exercise rights over their account data by contacting us.
Children’s PrivacyOmnia is a business tool for licensed insurance professionals and is not directed to children. We do not knowingly collect information directly from children.
